TellMeForever is operated by StackBridge IT LLC, doing business as TellMeForever ("TellMeForever," "we," "us," or "our").

This Privacy Policy explains how we collect, use, store, disclose, and delete personal information when you use TellMeForever, including our website, applications, interview tools, recording features, telephone recording services, transcription services, scheduled-message features, book creation features, and related services (collectively, the "Service").

TellMeForever exists to help people preserve personal stories, memories, interviews, and messages. Those recordings can contain deeply personal information, so we believe the way we handle them should be understandable.

This Privacy Policy applies whether you are:

  • An account holder.
  • A person invited to participate in an interview.
  • A person recording an answer without creating an account.
  • A recipient of a scheduled "Message in a Bottle."
  • A person whose voice or personal information appears in content stored through TellMeForever.
  • A visitor to our website.

1. The Different People Involved

TellMeForever often involves more than one person.

Account Holders

An account holder is the person who creates a TellMeForever account. They may create interviews, choose questions, invite participants, purchase recording time, create books, or schedule messages.

Account holders provide their information to us directly.

Interview Participants

An interview participant is someone invited to answer questions.

For example, an account holder may create an interview for a parent, grandparent, spouse, friend, or other loved one.

A participant may never create a TellMeForever account. Their name, email address, or telephone number may initially be provided to us by the account holder who invites them.

We do not treat an invitation as consent to receive marketing.

Scheduled-Message Recipients

A scheduled-message recipient is someone designated to receive a future recording through the "Message in a Bottle" or another scheduled-delivery feature.

A recipient may have no TellMeForever account and may not know about the scheduled message until we contact them.

Recipients may opt out of future TellMeForever communications.


2. Information We Collect

The information we collect depends on how you interact with TellMeForever.

Account Information

When you create or maintain an account, we may collect:

  • Your name.
  • Email address.
  • Password credential.
  • Time zone.
  • Account preferences.
  • Account creation date.
  • Account status.
  • Recording-time balance.
  • Purchase and transaction history.
  • Records of your acceptance of our Terms of Service and Privacy Policy.

Passwords are not stored in readable form. They are stored using password-hashing technology.


3. Information About Interview Participants

When an account holder creates an interview for another person, we may receive:

  • The participant's name.
  • Email address.
  • Telephone number, if telephone recording is used.
  • Relationship or descriptive information entered by the account holder.
  • Interview questions assigned to that person.
  • Invitation and delivery status.
  • Opt-out status.
  • Recording participation history.

Participant email addresses and telephone numbers are used to provide the interview and related communications.

We do not use participant contact information supplied by an account holder to send unrelated marketing.

Where implemented as described by the Service, participant email addresses and telephone numbers are encrypted at rest using application-level encryption with encryption keys maintained separately from the primary database.

Telephone numbers may be masked when displayed through the Service, such as by displaying only the last four digits.


4. Scheduled-Message Information

If an account holder creates a scheduled message, we may collect:

  • Recipient name.
  • Recipient email address or telephone number.
  • Scheduled delivery date and time.
  • Sender information.
  • The recording or message being delivered.
  • Delivery status.
  • Attempts to deliver the message.
  • Whether the recipient opened or accessed the message, where this information is technically available.
  • Recipient opt-out or suppression status.

We use this information only as reasonably necessary to store, manage, and deliver the scheduled message and to prevent unwanted communications.

If a recipient opts out before a scheduled message is delivered, we may suppress or cancel the delivery.


5. Recordings and Interview Content

TellMeForever may store content including:

  • Audio recordings.
  • Interview responses.
  • Questions.
  • Transcripts.
  • Word-level or segment-level timestamps.
  • Editing information.
  • Accepted and rejected responses.
  • Generated PDFs.
  • QR-code-associated recording links.
  • Book content.
  • Photographs or other media you choose to add if those features are available.
  • Scheduled personal messages.

Recordings are private by default.

We do not publish your private recordings on a public directory or intentionally make them searchable by the general public.

However, you may choose to share access to a recording. For example, a QR code in a printed book may allow someone who possesses the book to access the associated recording.

You should therefore treat a QR code or sharing link like access to the recording itself.


6. What May Be Inside a Recording

A personal story can contain almost any kind of information.

Depending on what a participant chooses to discuss, recordings or transcripts might reveal information about:

  • Family relationships.
  • Health.
  • Religion.
  • Political opinions.
  • Race or ethnicity.
  • Sexual orientation.
  • Financial matters.
  • Employment.
  • Military service.
  • Legal matters.
  • Locations.
  • Personal history.
  • Other sensitive or private experiences.

TellMeForever generally does not require people to provide these types of information.

If they appear in the Service, it is generally because the person chose to include them in their story or another user included them in submitted content.

We process that information only as reasonably necessary to provide the Service and as otherwise described in this Privacy Policy.


7. Voice and Biometric Information

TellMeForever stores audio containing people's voices.

We do not use voice recordings to authenticate users or create a TellMeForever voiceprint used to identify someone across different recordings.

We use audio for purposes such as:

  • Playback.
  • Storage.
  • Transcription.
  • Editing.
  • Organization.
  • Book creation.
  • Scheduled-message delivery.
  • Technical troubleshooting when necessary.

Certain transcription or audio-processing technologies may technically analyze characteristics of speech while providing their service. Those providers process data as described in the service-provider section below and under the applicable agreements governing our use of their services.


8. Transcripts and Artificial Intelligence

TellMeForever uses automated speech-processing technology to convert recordings into transcripts.

Audio may therefore be transmitted to our transcription provider for processing.

Automated transcripts can contain errors.

TellMeForever's Use of Your Content

TellMeForever does not use your private recordings or transcripts to train TellMeForever's own general-purpose artificial intelligence models.

We do not sell your recordings or transcripts as AI training datasets.

Third-Party Transcription Technology

We currently use AssemblyAI to provide transcription and related speech-processing services.

Information submitted to AssemblyAI is processed under the agreements, technical settings, data controls, and other terms applicable to our AssemblyAI account.

Because third-party AI and transcription providers may have their own rules concerning service improvement, de-identified information, usage data, or model training, we do not represent that every technical operation performed by a third-party provider is identical to TellMeForever's own data practices.

We review the privacy and data-processing practices of providers we use and may use available contractual or account-level data controls to limit secondary uses where appropriate.


9. Payment Information

Payments are processed by third-party payment processors, including Stripe.

When you make a purchase, Stripe may collect information such as:

  • Card number.
  • Expiration date.
  • Security code.
  • Billing address.
  • Cardholder name.
  • Payment authentication information.

Your full payment-card credentials are handled by the payment processor and are not stored in TellMeForever's application database.

We receive information necessary to maintain purchase records, such as:

  • Transaction identifier.
  • Amount paid.
  • Date of purchase.
  • Payment status.
  • Refund status.
  • Currency.
  • Limited payment-method information, such as card brand and last four digits where provided by the processor.

We retain transaction records as reasonably necessary for accounting, taxation, fraud prevention, dispute handling, and legal compliance.


10. Book Orders and Shipping Information

If you order a printed book or another physical product, we may collect:

  • Recipient name.
  • Shipping address.
  • Billing information.
  • Book order information.
  • The content necessary to manufacture the book.
  • Shipping and delivery status.

We provide the information necessary to manufacture and ship your order to the applicable printing, fulfillment, and shipping providers.

We do not provide those companies with unrelated recordings or account content that is not necessary to fulfill the order.

Shipping addresses stored by TellMeForever are generally removed from our active systems 60 days after the order has been fulfilled, unless longer retention is reasonably necessary for:

  • A refund.
  • Replacement.
  • Shipping dispute.
  • Fraud investigation.
  • Legal requirement.

Printing, shipping, and payment providers may separately retain transaction information according to their own legal and operational obligations.


11. Information Collected Automatically

When you use TellMeForever, our systems and infrastructure providers may automatically receive technical information such as:

  • IP address.
  • Browser type.
  • Device type.
  • Operating system.
  • Approximate time of access.
  • Pages or features accessed.
  • Application errors.
  • Security events.
  • Authentication activity.
  • Request and server logs.
  • Referring page.
  • Session identifiers.

We use this information to:

  • Operate the Service.
  • Authenticate users.
  • Protect accounts.
  • Detect abuse.
  • Troubleshoot errors.
  • Maintain reliability.
  • Investigate security incidents.
  • Prevent fraud.

We do not use this information to build advertising profiles about TellMeForever users.


12. Cookies and Similar Technologies

TellMeForever may use cookies, local storage, session tokens, or similar technologies that are necessary to operate the Service.

These may be used for purposes including:

  • Keeping you signed in.
  • Maintaining session security.
  • Remembering preferences.
  • Preventing cross-site request forgery or similar attacks.
  • Maintaining checkout state.
  • Detecting abuse.
  • Understanding whether essential Service functions are working.

Third-party services used during functions such as payment processing may also use their own cookies or similar technologies.

We do not currently use TellMeForever recordings or account information for cross-site behavioral advertising.

If we materially change our use of cookies or introduce advertising or non-essential tracking that requires additional notice or consent, we will update our practices and this Privacy Policy as appropriate.


13. How We Receive Information

We receive personal information from several sources.

Directly From You

For example, when you:

  • Create an account.
  • Record yourself.
  • Edit an interview.
  • Contact support.
  • Place an order.
  • Schedule a message.

From Another TellMeForever User

For example, an account holder may provide a participant's:

  • Name.
  • Email address.
  • Telephone number.

Automatically

Our website, application, hosting platform, and security systems may generate technical and security information when the Service is used.

From Service Providers

We may receive information from companies helping us operate the Service, such as:

  • Payment status from Stripe.
  • Email delivery status from Resend.
  • Telephone-call status from Twilio.
  • Transcription results from AssemblyAI.
  • Shipping information from fulfillment providers.

14. Why We Use Personal Information

We use personal information to:

  • Create and manage accounts.
  • Authenticate users.
  • Provide recording features.
  • Send interview invitations.
  • Place requested telephone calls.
  • Record participant responses.
  • Generate transcripts.
  • Allow recordings to be reviewed and edited.
  • Generate PDFs and QR-code experiences.
  • Create books.
  • Process purchases.
  • Ship physical products.
  • Deliver scheduled messages.
  • Respect opt-out requests.
  • Provide customer support.
  • Detect fraud or abuse.
  • Protect the Service.
  • Maintain system reliability.
  • Enforce our Terms of Service.
  • Comply with applicable law.
  • Establish, exercise, or defend legal claims.
  • Maintain accounting and tax records.

We do not use participant contact information supplied by another user for unrelated advertising.


15. Recording and Consent

TellMeForever is designed so that the person providing a recording knows that recording is occurring.

When recording through a web or application interface, the participant must take an action to begin recording.

For telephone recording, TellMeForever may play a spoken notice before recording begins explaining that a recording will be made and giving the participant an opportunity to decline.

The notice may itself be included in the resulting recording.

Recording and privacy laws vary by jurisdiction.

Account holders and participants are responsible for complying with applicable recording laws as described in our Terms of Service.

TellMeForever's recording notices are intended to support informed participation but are not a substitute for any consent independently required by law.


16. The Companies That Help Us Operate TellMeForever

We use third-party service providers because TellMeForever cannot operate entirely on a single company's infrastructure.

Our current core providers include the following.

Cloudflare R2

We use Cloudflare R2 for object storage.

Depending on the feature, R2 may store:

  • Audio recordings.
  • Transcripts.
  • Generated documents.
  • Book files.
  • Other stored content.

AssemblyAI

We use AssemblyAI to process audio and generate transcripts and related speech-processing results.

Audio must be transmitted to AssemblyAI for this feature to work.

Twilio

We use Twilio for telephone-related features.

Depending on the feature, Twilio may process:

  • Telephone numbers.
  • Call metadata.
  • Call status.
  • Audio recordings.
  • Related communications data.

Where TellMeForever uses Twilio to create a recording, we may transfer the recording into TellMeForever-controlled storage and request deletion of the Twilio-hosted recording when it is no longer needed for the telephone workflow.

Some limited records may remain with Twilio for periods required by its systems, legal obligations, security requirements, or retention policies.

Stripe

We use Stripe to process payments.

Stripe receives payment and billing information necessary to process transactions.

Stripe does not need access to your private interview recordings in order to process a TellMeForever payment.

Resend

We use Resend to deliver email.

Resend may receive information necessary to send and deliver an email, including:

  • Recipient email address.
  • Sender information.
  • Message content.
  • Delivery metadata.

Railway

We use Railway to host portions of the TellMeForever application and database infrastructure.

As a hosting provider, Railway may process information stored or transmitted through those systems.

Printing and Fulfillment Providers

When you order a physical book or other product, we provide the applicable printer or fulfillment provider with information necessary to manufacture and deliver your order.

That can include:

  • Book content.
  • Recipient name.
  • Shipping address.
  • Order information.

We do not provide printing companies with unrelated recordings or account information that they do not need to fulfill the order.


17. Service Providers and Their Own Obligations

We select service providers to perform specific functions for TellMeForever.

We expect providers acting on our behalf to process information consistently with the agreements and data-processing terms governing our relationship with them.

However, service providers may also maintain certain information independently when necessary to:

  • Comply with law.
  • Maintain security.
  • Prevent fraud.
  • Resolve billing issues.
  • Maintain legally required business records.
  • Enforce their own applicable terms.

Their independent handling of information may also be governed by their own privacy policies.


18. We Do Not Sell Personal Information

TellMeForever does not sell your private recordings, transcripts, participant contact information, or other personal information for money.

We also do not use TellMeForever personal information for cross-context behavioral advertising.

We do not rent participant contact lists.

We do not sell recordings as training datasets.

If our practices materially change in the future, we will update this Privacy Policy and provide any choices required by applicable law before applying the changed practice where required.


19. Other Situations Where Information May Be Disclosed

Outside the service providers described above, we may disclose information when reasonably necessary in the following circumstances.

At Your Direction

We may disclose information when you intentionally direct us to do so.

For example, sharing a recording or ordering a book requires us to make the applicable information available to the person or provider necessary to complete that action.

Legal Requirements

We may disclose information if we reasonably believe disclosure is required by:

  • Applicable law.
  • A subpoena.
  • Court order.
  • Search warrant.
  • Other valid legal process.

Where legally permitted and appropriate, we may attempt to notify an affected account holder before disclosing their information.

Safety, Fraud, and Security

We may disclose information when reasonably necessary to:

  • Investigate fraud.
  • Protect the security of the Service.
  • Prevent unlawful activity.
  • Protect the safety or rights of a person.
  • Investigate misuse of TellMeForever.

Business Transactions

If StackBridge IT LLC or TellMeForever is involved in a merger, acquisition, financing, restructuring, bankruptcy, or sale of some or all of its business or assets, personal information may be transferred as part of that transaction.

Any successor would remain subject to applicable privacy obligations concerning the transferred information.


20. Who Can Access a Recording

TellMeForever recordings are private by default, but private does not necessarily mean that only one person can ever access them.

Access may be provided to:

  • The account holder.
  • The person recording the response.
  • People the account holder intentionally shares the recording with.
  • People who receive an authorized QR code or sharing link.
  • TellMeForever personnel when access is reasonably necessary for support, security, abuse investigation, or legal compliance.
  • Service providers processing the recording to provide the requested feature.

We do not intentionally publish private recordings in a public search engine or public recording directory.

QR Codes and Sharing Links

A QR code may remain usable for a long period even though the underlying audio is delivered through temporary or signed technical URLs.

If you place a QR code in a printed book or give a sharing link to another person, anyone who later obtains access to that QR code or link may be able to access the associated content.

Do not publicly share a QR code or recording link unless you are comfortable with the people who obtain it accessing the recording.


21. How Long We Keep Information

We try to retain personal information only for as long as it is reasonably needed for the purpose for which it was collected.

Different types of information have different retention periods.

Active Recordings

Recordings are generally retained while the associated account and recording remain active.

Deleted Recordings

When an account holder deletes a recording, the recording may enter a 30-day recovery or trash period.

During that period, restoration may be possible.

After the recovery period expires, the recording and associated data are scheduled for removal from active production storage and databases.

Copies may remain temporarily in routine backups, disaster-recovery systems, or provider systems until those systems are rotated or overwritten.

We do not restore deleted backup data into normal use except when reasonably necessary for disaster recovery, security, or legal obligations.

Originals of Edited Recordings

When TellMeForever creates an edited version of a recording, we may retain the original recording for approximately 30 days so the edit can be reversed or corrected.

After that period, the unnecessary original may be deleted.

Account Information

Account information is generally retained while the account exists.

When you delete an account, we delete or de-identify account information that is no longer reasonably necessary, subject to limited retention for:

  • Accounting.
  • Tax records.
  • Fraud prevention.
  • Security.
  • Disputes.
  • Legal obligations.

Shipping Addresses

Shipping addresses maintained by TellMeForever are generally removed from active systems 60 days after fulfillment, unless continued retention is reasonably necessary for an order problem or legal requirement.

Payment Records

Transaction and accounting records may be retained for as long as reasonably necessary to satisfy tax, accounting, chargeback, fraud-prevention, and other legal obligations.

Email and Telephone Suppression Records

If someone tells us not to contact them again, we may retain the minimum information necessary to honor that request indefinitely.

This is intentional.

Deleting a suppression record could cause that person to be contacted again by mistake.

A suppression record is not used to send marketing or other communications.

Security and Administrative Logs

Security, authentication, administrative, and audit logs may be retained for a reasonable period necessary to:

  • Detect security incidents.
  • Investigate abuse.
  • Maintain accountability.
  • Meet legal requirements.

22. Deleting an Account

An account holder may request or initiate account deletion using the available account settings or by contacting us.

Account deletion may permanently remove:

  • Recordings.
  • Transcripts.
  • Interview information.
  • Books stored in the account.
  • Scheduled messages.
  • Associated account content.

Download anything you want to keep before deleting your account.

Account deletion does not necessarily remove information that:

  • Another person independently owns or controls.
  • Has already been included in a physical book that was printed.
  • Must be retained for legal or accounting reasons.
  • Remains temporarily in routine backups.
  • Is necessary to maintain an opt-out suppression record.

23. Rights of Interview Participants

You do not need a TellMeForever account to have privacy rights with us.

A person whose voice is stored through TellMeForever may contact us and request information about recordings that concern them.

They may also request deletion of recordings containing their own voice.

We may need to verify the person's identity before acting on the request.

When we approve a participant deletion request, it may result in deletion of:

  • Their audio.
  • The corresponding transcript.
  • Associated recording metadata.
  • Generated digital content that depends on that recording.

Deletion may affect the account holder's interview, transcript, book project, or recording collection.

A privacy request cannot retrieve or erase copies of a physical book that have already been printed and delivered.


24. Your Privacy Rights

Depending on where you live and whether a particular privacy law applies to TellMeForever, you may have rights concerning your personal information.

Those rights may include the right to:

  • Confirm whether we process your personal information.
  • Access personal information we hold about you.
  • Obtain a copy of certain personal information.
  • Correct inaccurate information.
  • Request deletion.
  • Request data portability.
  • Opt out of certain sales of personal information.
  • Opt out of certain targeted advertising.
  • Opt out of certain profiling or automated decision-making.
  • Limit certain uses of sensitive personal information.
  • Withdraw consent where processing depends on consent.
  • Object to or restrict certain processing where applicable.

TellMeForever does not currently sell personal information or use personal information for targeted behavioral advertising, so there may be nothing for us to process in connection with certain sale or advertising opt-out rights.

Even where a particular statutory privacy right does not technically apply, we may choose to honor reasonable access, correction, and deletion requests where doing so does not conflict with another person's rights, security requirements, or legal obligations.


25. How to Make a Privacy Request

You may submit a privacy request using the support contact information available on our Help or Contact page.

Tell us:

  • Who you are.
  • The email address or telephone number involved.
  • What information you are asking about.
  • What you would like us to do.

For security, we may ask for information reasonably necessary to verify your identity.

We will not require you to provide substantially more personal information than is reasonably necessary to verify the request.

If you are requesting deletion of a recording but do not have a TellMeForever account, providing information such as the inviting person's name, your email address, telephone number, or approximate date of the recording may help us locate it.


26. Authorized Representatives

Where applicable law allows it, you may authorize another person to submit a privacy request on your behalf.

We may require reasonable evidence that the representative is authorized to act for you.

We may also contact you directly when necessary to verify your identity or authorization.


27. Appeals

If we deny a privacy request and applicable law gives you a right to appeal that decision, you may appeal by contacting us again and clearly identifying your request as a privacy appeal.

Please explain why you believe the decision should be reconsidered.

We will review the appeal as required by applicable law and provide information concerning any additional options available to you where required.


28. No Discrimination for Exercising Privacy Rights

We will not unlawfully discriminate against you because you exercised a privacy right.

For example, we will not charge you a different price merely because you submitted an access or deletion request, except where a difference is permitted by applicable law and reasonably related to the value or cost of the applicable service.

Deleting information that is necessary for TellMeForever to provide a feature may make that feature unavailable.

For example, if you ask us to delete a recording, we cannot continue providing playback of that deleted recording.

That is a consequence of the deletion rather than discrimination for exercising a privacy right.


29. Email Choices and Opt-Outs

TellMeForever sends different kinds of email.

Account Communications

Account holders may receive emails necessary to operate their account, including:

  • Account verification.
  • Password and security notices.
  • Purchase receipts.
  • Service notices.
  • Interview activity.
  • Scheduled-message activity.
  • Changes to legal terms.
  • Customer-support communications.

Some operational communications cannot be disabled while an account remains active.

Participant and Recipient Communications

Interview participants and scheduled-message recipients may receive communications necessary to deliver an invitation or message requested by another TellMeForever user.

These communications are not permission to add the recipient to a marketing list.

Participants and recipients may use the opt-out mechanism provided in TellMeForever communications to stop future participant or scheduled-message communications.

If they opt out, we may retain a suppression record so we can honor that request in the future.


30. Do Not Sell or Share and Global Privacy Signals

TellMeForever does not currently sell personal information or use it for cross-context behavioral advertising.

As a result, we do not currently maintain a separate "Do Not Sell or Share My Personal Information" mechanism for TellMeForever's own data practices.

Where applicable law requires recognition of browser-based privacy signals such as Global Privacy Control for a processing activity in which we engage, we will honor those signals as required.

If our data practices change so that an additional opt-out mechanism becomes necessary, we will update this Privacy Policy and our Service accordingly.


31. Children

TellMeForever is not directed to children under 13 years old.

We do not knowingly allow children under 13 to create TellMeForever accounts or directly submit recordings or other personal information through the Service.

Audio containing a person's voice is personal information and can be particularly sensitive when the speaker is a child.

If we learn that we have directly collected personal information from a child under 13 in circumstances requiring parental consent and the necessary consent was not obtained, we will take reasonable steps to delete the information.

If you believe a child under 13 has directly provided information or a recording to TellMeForever, contact us.

An adult's inclusion of information about a child in the adult's own story may be treated differently under applicable law, but we may still remove such information when legally required or when appropriate to protect the child.

For participants between 13 and 17, the account holder is responsible for obtaining any parental or guardian permission required by applicable law or our Terms of Service.


32. Security

We use administrative, technical, and organizational safeguards designed to protect personal information.

Depending on the type of information and system involved, these safeguards include measures such as:

  • Password hashing.
  • Encryption of certain participant contact information at rest.
  • Separation of encryption keys from primary application data.
  • Restricted administrative access.
  • Administrative audit logging.
  • Expiring or signed playback URLs.
  • Access controls.
  • Authentication protections.
  • Security monitoring.
  • Provider-level encryption and infrastructure protections.
  • Backup and recovery procedures.

Audio files are not intentionally exposed through permanent, unrestricted public object-storage addresses.

When playback is requested, TellMeForever may use signed or temporary access mechanisms to provide the underlying media.

No online service can guarantee perfect security.

If we discover a security incident involving personal information, we will investigate it and provide notifications where required by applicable law.


33. Administrator Access

Access to TellMeForever's administration functions is restricted to authorized personnel who need that access for legitimate purposes.

Administrative access may be used for purposes such as:

  • Customer support.
  • Security investigation.
  • Abuse prevention.
  • Technical troubleshooting.
  • Privacy requests.
  • Legal compliance.

Administrative actions may be logged to create an accountability and security record.

TellMeForever personnel are not permitted to browse private recordings out of curiosity or for unrelated purposes.


34. International Users

TellMeForever is operated from the United States.

If you use the Service from another country, your information may be transferred to, stored in, or processed in the United States or another country where one of our service providers operates.

Privacy and data-protection laws may differ between jurisdictions.

Where applicable law requires particular protections for an international transfer, we will take reasonable steps to use an appropriate transfer mechanism or safeguard.


35. Legal Bases Where Required

Some privacy laws require us to explain the legal basis on which we process personal information.
